Minutes of the BAOC Board Meeting held September 24, 2020

Present: Officers Marie-Josée Parayre (President), Stephanie Maclean (Vice President), Scott Aster (Event Coordinator), Nick Corsano (Secretary), Sharon Evans (Treasurer); Board members Bob Cooley, Dan Greene, Werner Haag, Steve Haas, Jay Hann, Jitka Hiscox, Jeff Lanam, Dennis Wildfogel; Visitors Gavin Wyatt-Mair, François Léonard, Derek Maclean, Misha Kreslavsky, Siargey Pisarchyk, Gary Kraght, Tapio Karras, Bob Bruns

The meeting was held via Zoom. It was called to order by the President at 8:05 PM.

President’s Report – Marie-Josée Parayre

The President appointed the following people to serve on the Event Coordinating Committee: George Minarik, Graham Brew, Deron van Hoff, Jeff Goodwin. That committee is chaired by Scott Aster, the Event Coordinator. The President also appointed Sharon Evans as Chair of the Finance Committee.

Approval of Minutes – Nick Corsano

Minutes of the March 10 and May 11 Board meetings were approved as presented.

Email Votes – Nick Corsano

In August, the Board approved by an email vote the following motion:

That BAOC grant permission to Nav-X to use the map data from BAOC's existing map of Annadel State Park for the purpose of developing a new orienteering map of the park, to be co-owned by BAOC and Nav-X, and therefore which may be used by either organization without payment to the other, provided that:

  1. The resulting map is of suitable quality to be used for a National Ranking Event;
  2. The two organizations coordinate communication with park management, the scheduling of events at the park, and any future map update efforts. For BAOC, the point of contact for these purposes shall be the Event Coordinator (EventCoordinator@baoc.org). For Nav-X, it shall be info@navxchallenge.org;
  3. Other than the permission granted above, BAOC retains all rights to its existing map of Annadel, including the right to sell it or make it available to individuals or organizations.

Treasurer’s Report – Sharon Evans

The club has about $157K in the bank, and is earning about $75 per month in interest. In the pandemic, the club still has fixed costs for storage, membership, and Square equipment (which allows the club to accept credit cards at events). A motion to continue our support of the Friends of Boggs Mountain with a $100 donation was passed.

Steve Haas, Stephanie Maclean, Bob Cooley, and Nick Corsano were appointed to the Budget/Finance Committee.

Membership Report – Werner Haag

There are 194 memberships. About half are families, giving us 290 members according to Orienteering USA’s formula. The actual number of people covered by these memberships is around 400. Use of the MemberPlanet software has saved a lot of time, but the company’s support is not helpful.

How Events Restart Safely (HERS) – Scott Aster and Dennis Wildfogel

Dennis shared COVID-19 safety procedures from two other clubs. The assembly area presents the most serious problems.

North Bay venues so far are the most receptive to our resuming events. Bon Tempe looks promising for the first weekend in December. Events cancelled this spring could happen fairly quickly once conditions allow.

There was discussion about damage to our venues from the August wildfires ​—​ severe at Big Basin, apparently minor at Morgan Territory and Joe Grant.

2021 Cal-O-Fest Report – Gavin Wyatt-Mair

We have kept about 80% of those registered, totaling over 600. The main short-term need is to replace Big Basin. Course design is to be complete by November, especially for the Tahoe venues. No permits for the new dates have been obtained.

A decision will be made by April 1 on whether Cal-O-Fest can be held in 2021. If not, then the intention is to re-apply for 2024. The club has repaid the $17K loan from IRF; we do not have to repay our loan to Orienteering USA yet.

Map Use Agreement with Nav-X РMarie-Jos̩e Parayre

A motion to allow Nav-X to use the Sunol map for a Corona-type event at no cost was passed. A suggestion was made for them to remove the BAOC logo from the map they provide.

Orienteering USA Annual General Meeting РMarie-Jos̩e Parayre

The OUSA AGM will be held virtually on Thursday, October 22.

The next Board meeting was set for Thursday, December 10, from 8–10 PM.

The meeting was adjourned at 9:58 PM.
