National Meet Registrar Checklist
This checklist covers tasks essential to National Meet registration, including pre-registration, pre-payment, communication, documents, and includes info for day-of-event National Meet and recreational registration.
It does not cover each of the tasks in detail (for instance, setting up online registration, creating start lists), because these will vary over time and depend on the event.
Note: As of September 2015, this checklist is a work in progress. Additions and changes can be sent to the BAOC .
4 Months Before the Event
- Prepare and test online registration
3 Months Before the Event
- Turn on online registration; tell Event Director and it's active
- If needed, order bibs
1 Month Before the Event
- Remind , , (and possibly Attackpoint (http://attackpoint.org)) before early/regular/late registration deadlines
- Buy materials for packets
- Envelopes
- Safety pins
- Confirm printer ink supply
- Confirm supply of appropriate labels
- Prepare process for printing labels
After Online Registration Closes (2 weeks before event)
- Emails to entrants
- Send link to final registration list
- Send Event Director's and Course Setter's notes (or links to online copies)
- Inform when start times have been posted
- Prepare documents for event
- Create start lists; email to Start Crew Chief, Event Director(s), and Course Setter(s)
- Create dinner tickets for packet (this should also be noted on the outside packet label)
- Print forms
- Course Setter's notes
- Event Director's notes
- National Meet registration form (for day-of-event registration)
- National Meet waivers (for people who didn't sign online or who register at the event)
- Start lists
- Regular BAOC registration form (PDF/12KB) (for recreational registration)
- BAOC Membership Form
- Print bib and envelope labels
- Create and stuff packets
- Prepare/obtain other items for event
- Confirm tables and sun shades are available
- Clipboards
- Pens/pencils
- Have cash available to make change
- Safety pins
- List of late registration prices
During the Event
- Staff or supervise the registration table
- Email results to entrants after each day
After the Event
- Email final results (or link to online copy) to entrants
- Email event write-up (or link to online copy) to entrants
- Deposit cash from event; transfer money from PayPal
- Do accounting for event; send to Event Director & Treasurer
- Email list of lost-and-found items to entrants and BAOC
